Overview

The clients guide maintains a single directory of all counterparties used across warehouse documents, sales, and financial operations. Each record can represent a buyer, supplier, or both.

The Counterparty Card

The card opens as a single page. Field blocks are on the left; roles, notes and technical data are on the right. Links under the title jump to a block, and the counterparty's roles are shown under the name (or a No role selected warning).

  • Main — name, full name, IIN/BIN (tax ID) and group.
  • Contacts — phone (with a call button next to it), email and address.
  • Buyer — shown while the Buyer role is on: card code, birthday, "How they heard about us" and available price types.
  • Bank details — bank account, bank, BIC and "Other details (free text)". The block is shown for vendors and for counterparties that already have bank details; for the others a Show bank details button is shown instead.

A hidden block never erases data: if you turn the Buyer role off, the card code, birthday and price types are kept and come back when the role is turned on again.

Record access rights and deleting the counterparty are in the ⋯ menu to the right of the title.

FAQ

Can one counterparty be both a client and a supplier?

Yes. The same record can be used as a buyer in sales documents and as a supplier in receipt documents.

What is IIN/BIN?

IIN (Individual Identification Number) is for individuals, BIN (Business Identification Number) is for legal entities. These are used for tax reporting and electronic invoicing in Kazakhstan.

Are bank details required?

No. Bank details are optional and typically needed only when processing bank payments to or from the counterparty. That is why the Bank details block is hidden for buyers — open it with the Show bank details button.

What does it mean when no price type is selected?

The client buys at the item's regular price. If you select price types, sales to this client use the prices of the selected types wherever the item has such a price.

How do I delete a counterparty?

Open the card, click ⋯ to the right of the title, choose Delete counterparty… and confirm.

Can I add a note about a guest's preferences?

Yes. The counterparty card has a free-text note field — use it for favourite dishes, allergies, seating preferences and so on.

  1. Open Guides > Suppliers and the client you need.
  2. Type the note into the Notes field on the right of the card. The birthday is in the Buyer block.
  3. Click Save.

The field is meant for a short note — up to 255 characters.
