Goods at the POS: labels, price tags, packing, marking, stock — Paloma365 Classic (Windows POS) ​

This article covers Paloma365 Classic — the POS application for Windows. It explains printing labels and price tags, packing weighed goods, uploading PLUs to scales, selling and returning marked goods, stock and material reports, salon materials and the completion act.

Printing a label for a selected item ("Label printing" window) ​

  • Where: "Cashbox" («Касса») screen → "Options" («Опции») → "Additional functions" («Дополнительные функции») → "Label printing" («Печать этикеток»). The window has a search field, an item table, the item's barcodes (main and additional), «Описание товара» (item description), «Тип этикетки» (label type: «Стандартная» standard / «Старая\Новая цена» old\new price / «Уменьшенная» small), "Price type" («Тип цены»), «Принтер для печати» (printer), «Количество копий» (copies) → «Печатать выбранный штрих-код» (print selected barcode).
  • Permissions: the employee needs the «Печать этикетки» (print label) right in the web dashboard. If no rights were ever configured for the employee, printing is allowed; if the right is off — "Permission denied!" («Недостаточно прав!»).
  • Price type: "Item details" («Карточка товара» — price from the item card or menu designer) or the sales price type assigned to the outlet.
  • Notes: the chosen printer is remembered. If the item has no name or its price is 0, the POS says label printing is impossible. The list shows at most 50 items — use search. For the old\new price label, the old price comes from the outlet's old price type; if it is 0, that block stays empty.

Opening the full packing / labels / price tags window ​

  • Where: "Label printing" window → «Открыть новую форму печати» (open the new print form).
  • Notes: this opens the same window as the «Фасофка» (packing) interface, with the "Packaging" («Фасовка»), "Label" («Этикетка»), "Price tag" («Ценник»), "Printer" («Принтер») and "Scales" («Весы») tabs.

The «Фасофка» (packing) interface: item list, search and price type ​

  • Where: login screen → «Фасофка» interface → window with the Packaging, Label, Price tag, Printer and Scales tabs.
  • Search: "Search type" («Тип поиска») — "Name" («Наименование») / "Barcode" («Штрих-код») / "PLU code" («PLU-код») / "Item code" («Код товара») / "Vendor code" («Артикул»). Search runs on Enter, the magnifier button or the on-screen keyboard; tapping a folder opens it.
  • Price type: the «Тип цены:» list contains "Retail" («Розничная» — the item card price) plus price types from the cloud; it affects the price in the list, on labels and on price tags.
  • Row limit: Settings → "Program appearance" («Вид программы») → "Item display limit" («Лимит товаров в списках»), 100 by default.
  • Notes: the window cannot be moved or resized.

Batch label printing for a list of items ("Label" tab) ​

  • Where: «Фасофка» → "Label" («Этикетка») tab → table «Товар / ШтрихКод / Кол-во» → "Print" («Печать»).
  • Building the list: tap an item — the POS asks «Введите количество этикеток» (enter number of labels); "Add folder contents" («Добавить всю папку») adds the items of the selected (or currently open) folder with one entered quantity; «Загрузить из буфера» (load from buffer) loads a list from the cloud (internet required); "Quantity" («Количество») changes the count for the selected row; "Delete" («Удалить») removes a row. Only whole numbers are accepted («Введите целое число»).
  • Label type: «6x4» (standard), «Старая\Новая цена» (old\new price), «2x3» (small), «2x4». The chosen type is remembered.
  • Notes: the printer is chosen on the "Printer" tab. Each row keeps the price type selected when it was added. Rows with quantity 0 are skipped; if the first row has no name, printing is refused. Pressing "Print" does not ask for the quantity again; the list is cleared after printing.

Printing labels for all items of a receipt document ​

  • Where: "Warehouse" («Склад») interface → «Документы поступления» (receipt documents) → select a document → "Label printing" («Печать этикеток») → the "Label" tab opens with the list filled in → "Print".
  • Notes: the button exists only in the receipt documents list (not in sales, inventory or write-off). The label count per item equals the item's total quantity in the document. Labels use the item's own price with no separate price type ("Retail": from the item card or from the menu designer). It also works for documents not yet sent to the cloud.

Quick label printing while adding an item to a receipt document ​

  • Where: "Warehouse" → receipt document → «Добавить в документ» (add to document) window → «Печать» (print) → window with «Принтер для печати» and «Тип этикетки» («Стандартная» / «Старая\Новая цена» / «Уменьшенная») → «Печать».
  • How it works: the "Print" button appears only in receipt documents. The number of labels equals the «Количество:» (quantity) field — a whole number. With «Наценка» (markup) on, the label shows «Новая цена:» (new price), otherwise «Себестоимость:» (cost price).
  • Notes: if no printer was saved, the first printer in the list is used. The "Print payment type on a label" setting does not affect quick printing.

Price type names on the old\new price label ​

  • Where to enable: Settings → "Receipts and reports" («Чеки и Отчеты») → "Additional data" («Дополнительные данные») → "Print payment type on a label (old/new price)" («Печать вида оплаты на этикетке (старая/новая цена)»). Off by default.
  • What changes: on the «Старая\Новая цена» label, the price is printed with its price type name, and the old price with the old price type name.
  • Notes: the old price is printed only if it is not 0. Applies to the "Label printing" window and the "Label" tab of «Фасофка»; not to quick printing from a receipt document.

Editing label templates ​

  • Where: Settings → "Receipts and reports" → "Editing printable templates" («Редактирование шаблонов печатных форм») → "Label" («Этикетка», standard), "Small label" («Этикетка мал.»), "New-old price label" («Этикетка стар. нов. цена»).
  • Notes: the print form editor opens; the report editor must be installed in the program folder. If the template file is missing — "Error while opening the report template..." («Ошибка открытия шаблона отчёта...»). Weight labels, the «2x4» label and price tags have no edit buttons in settings. If the item has no barcode, the barcode is hidden on the label.

Choosing and remembering the label printer ​

  • Where: «Фасофка» → "Printer" («Принтер») tab → «Принтер для печати»; the same field is in the "Label printing" window and the quick-print window.
  • How it works: the list shows Windows printers; the chosen printer is remembered and used in all label printing windows.
  • Notes: without a saved choice, the "Label printing" window uses the Windows default printer, while «Фасофка» uses only the saved printer. No print settings dialog appears for labels; for price tags it appears when "Receipts and reports" → "Display print settings window" («Отображать окно настройки печати») is on.

Packing: weighing and printing a weight label ​

  • Where: «Фасофка» → "Packaging" («Фасовка») tab → select an item → enter weight/quantity (keyboard button «Введите количество» or the get-weight button) → «Тип этикетки» («Стандартная» / «Уменьшенная»), «Кол-во копий:» (copies) → «Печать этикетки» (print label).
  • Checks: without weight/quantity — «Введите вес или количество!» (enter weight or quantity); without an item name or price, printing is refused. The screen shows «Цена:» (price) and «Сумма:» (amount).
  • Label barcode: prefix (weight — 22 by default, piece — 21; Settings → "Equipment" («Оборудование») → "Scales" → "Barcode format" («Формат штрихкода») → "Prefix for barcodes" («Префикс для штрих-кодов»)) + 5 digits of the item code + 5 digits of weight/quantity + check digit. If "Search when scanning label" («Поиск при сканировании этикетки») is "By PLU" («По PLU»), the item's PLU is encoded, otherwise the item code.
  • Notes: copies and label type are remembered. Weight is always encoded in 5 digits («22 00001 83.550»), whatever barcode format is selected.

Getting the weight from the scales automatically when packing ​

  • Where: «Фасофка» → "Packaging" tab → «Получать вес автоматически» (get weight automatically) switch; also the get-weight button next to the quantity field and "Get from scales" («Получить из весов») on the on-screen keyboard.
  • Which scales: weight is read from ШТРИХ-Slim and Масса-К scales (old series, new series, «Драйвер 100»), configured in Settings → "Equipment" → "Scales".
  • Notes: with an unstable Масса-К reading, the POS reports an unstable weight. For piece goods, 1 is filled in.

Printing price tags ("Price tag" tab) ​

  • Where: «Фасофка» → "Price tag" («Ценник») tab → table (item, barcode, vendor code, price, old price, PLU) → "Print" («Печать»).
  • Building the list: tap an item — «Введите количество ценников» (enter number of price tags; a whole number, one row per tag); "Add folder contents" adds one tag per item of the folder; «Загрузить из буфера» — from the cloud (internet required); "Delete" removes a row.
  • Format: "Price tag format" («Формат ценника») — "Big" («Большой») / "Small" («Маленький»); "Old price" («Старая цена») prints a tag with the old-price block.
  • Notes: the price follows the selected price type ("Retail" = item card price); the old price comes from the outlet's old price type. Printing goes through a preview; the list is cleared afterwards.

Uploading PLUs to scales from «Фасофка» ​

  • Where: «Фасофка» → "Scales" («Весы») tab → «Тип Весов» (scales type: "Electronic scales "ШТРИХ"" / "Electronic scales "Масса-К"" / "Rongta electronic scales" / «Электронные весы Mertech») → "Upload PLU" («Прогрузить PLU»).
  • How it works: for ШТРИХ and Масса-К a separate upload window opens; if these scales are not enabled in Settings → "Equipment" → "Scales", you get "Scales are not configured" («Весы не настроены»). For Rongta and Mertech the upload starts immediately and ends with "Successful" («Успешно»), "Partially uploaded" («Выгружен частично») or "Upload failed" («Выгрузка не удалась»).
  • Notes: the scales settings have their own "Upload PLU" buttons and «Автоматически выгружать PLU товаров» (upload item PLUs automatically) checkboxes.

Marking code prompt when selling ​

  • Where: adding a marked item to the order (tile or scan) → "Enter or scan marking" («Введите или отсканируйте марку») window with "Accept" («Принять») and "Cancel" («Отмена»).
  • How to enable: «Запрашивать марку» (request marking) checkbox in the item card.
  • Notes: a code shorter than 13 characters or containing Cyrillic letters is rejected — "Entered value is not a marking" («Введенное значение не является маркой»); the keyboard layout switches to English automatically. "Cancel" — the item is not added.

Blocking resale of the same marking code ​

  • How it works: by default the POS checks the code: if it is already recorded as sold, "Item with the given marking, was sold before!" («Товар с данной маркировкой, был реализован ранее!») appears and the item is not added. The check counts sold codes minus returned ones.
  • Where to disable: Settings → "General settings" («Общие настройки») → "Extensions of interfaces" («Расширение режимов») → «Не проверять уникальность для марок» (do not check marking uniqueness).

Selling a marked item without scanning the code ​

  • Where to enable: Settings → "General settings" → "Extensions of interfaces" → «Разрешить пропускать без считывания марки» (allow skipping without reading the marking), off by default.
  • How it works: with it on and the field empty, the button reads «Пропустить» (skip) and adds the item without a code. With it off, an empty code is rejected.

Marking check on returns ​

  • Where: return → select a marked line → "Enter or scan marking" window. You can also scan the code into the return window's search field — then no separate window opens.
  • How it works: the code is compared with the one from the original receipt; on mismatch — "Item with the given marking was not found!" («Товара с данной маркировкой, нет в счёте!») and the line is not returned.
  • Notes: an empty code is never accepted on returns, even with skipping allowed.

"Products in stock" report at the POS ​

  • Where: "Cashbox" screen → "Other reports" («Другие отчеты») → "Products in stock" («Остатки на складе»). The window shows «Дата актуальных данных по остаткам: …» (stock data date), filters «Наименование», «Артикул», «Штрихкод», «Выбранный склад» (warehouse), checkboxes «Не показывать нулевые остатки» (hide zero stock) and «Подсвечивать товары с критическим остатком» (highlight critical stock), buttons "Refresh the data" («Обновить данные») and "Print" («Печать»).
  • Access: if rights are configured for the employee in the web dashboard, the right «Материальная ведомость и остатки» is required; if it is off — "Permission denied!" («Недостаточно прав!») and no password is asked. If rights were never configured, the POS asks for the outlet's «Пароль: Отчет остатков» password; if it is not set — a message that a password must be set («Для просмотра отчета об "остатках", необходимо установить пароль!»), if wrong — "Wrong password!" («Неверный пароль!»).
  • Data source: stock arrives during sync only if «Предупреждать об остатках в режиме продаж» (warn about stock in sales mode) is on for the outlet, and only for the outlet's warehouse. "Refresh the data" re-reads what is already on the POS; it does not query the server.
  • Notes: changing the warehouse asks "Refresh the data?" and resets the data date; another warehouse shows an empty table. With highlighting on, the quantity turns red when the item has a critical minimum set and stock is at or below it. Checkboxes are remembered.

Stock shown on tiles and in the item list ​

  • Where: sales mode → a tile shows «(N ост.)» (N left) before the name; the item list has a stock column.
  • How to enable: «Предупреждать об остатках в режиме продаж» for the outlet in the web dashboard; data arrives with sync.
  • Notes: if the outlet has no warehouse — "Warehouse isn't chosen" («Склад не выбран»). Tiles do not show stock for services and combos.

Stock control when selling: warning or block ​

  • How it works: with «Предупреждать об остатках в режиме продаж» on and not enough stock, the POS asks «… выбрали (N) больше чем есть на складе (M) … Хотите продолжить?» (you chose N, more than M in stock — "Do you want to continue?"). If «Запретить продажу сверх остатка» (block sales above stock) is also on for the outlet (it works only together with «Предупреждать об остатках в режиме продаж»), instead of the question the POS shows "out of stock!" («не хватает на складе!») with a hint that this can be turned off in the outlet settings, and the item is not added.
  • Local setting: Settings → "General settings" → "Extensions of interfaces" → "Don't show stock alerts during sale" («Не показывать сообщение об остатках при продаже») removes the question and continues the sale. It does not lift the block.
  • Notes: services and combos are not checked. Quantity already added to the order is counted.

Consumable materials for a service (salon) ​

  • Where: "Salon" («Салон») interface → order → select a service line → "Material" («Матер.») → materials window (folder and item tiles, search, «Вверх»/«Вниз», "Delete", «Итого:») → "Select" («Выбрать»).
  • Restrictions: with no line selected — "Choose a service to which you want to add a material"; materials go only to a service ("Materials can be added only on a service..."), not to a combo ("You are trying to add materials to a combo item..."). A combo («Нельзя выбрать комбо...») or certificate («Нельзя выбрать сертификат...») cannot be chosen as a material.
  • Quantity: asked if the outlet has «Запрашивать кол-во при выборе товара» (ask quantity) on or the item is weighed; otherwise 1.
  • Materials total: by default it cannot exceed the service price («Нельзя выбрать материалы больше стоимости услуги...»); the outlet setting «Разрешить затраты больше цены услуги» lifts this.

"Material report" («Материальная ведомость») ​

  • Where: "Cashbox" screen → "Other reports" → «Материальная ведомость» → optional «Без цен и сумм» (no prices and sums) → «Сформировать» (generate).
  • Access: if rights are configured for the employee in the web dashboard, the right «Материальная ведомость» is required; if it is off — "Permission denied!" («Недостаточно прав!»). If rights were never configured, the POS asks for the outlet's «Пароль: Материальная ведомость» password; if it is not set — a message that a password must be set («Для просмотра отчета "материальная ведомость", необходимо установить пароль!»), if wrong — "Wrong password!" («Неверный пароль!»).
  • How it works: "generate" requests goods movement (opening stock, receipts, issues, closing stock) for the outlet's warehouse for the outlet's last shift from the server and prints the report, with or without prices and sums. Internet is required.
  • Notes: offline, previously loaded data is printed. There is no "Refresh the data" button here. Template: Settings → "Receipts and reports" → "Material report" («Материальная вед.»).

Stop list and dishes containing the item ​

  • Where: «Стоп лист» (stop list) window → adding an item.
  • How it works: if the item is an ingredient of dishes by recipe, the POS asks «Вы добвляете товар входящий в состав блюд: … Добавить эти блюда в стоп-лист?» (the item is part of these dishes — add them to the stop list?) and, if confirmed, adds those dishes too. When a folder is added, every item inside is checked.

Item images on menu tiles ​

  • Where: Settings → "Sync" («Синхронизация») → "Use product images" («Использовать изображения товаров») and "Download" («Перекачать»); Settings → "Program appearance" → "Images on tiles" («Изображения на плитках»): "Text at the bottom" / "Text on top" / "Text on the side".
  • How it works: images are assigned to items in the web dashboard; the POS downloads them during sync into an images folder under Documents. "Download" deletes local images and starts an extra sync to fetch them again.
  • Notes: "Download" and "Images on tiles" are available only with the checkbox on.

Completion act from sales mode ​

  • How to enable: Settings → "General settings" → "Extensions of interfaces" → "Completion act(Button in sales mode)" («Акт комплектации (кнопка в режиме продаж)»).
  • Where: sales mode → menu button → "Completion act" («Акт комплектации»).
  • How it works: the order must be non-empty, not printed and not closed; employee authorization and internet are required. A new kit item card opens: generated barcode, name «Товар #<barcode>», price = order total → "Save" («Сохранить») → enter quantity. The act is sent to the cloud; on success — "Completion act created!", the "Label" tab opens with the kit for label printing and the document is printed. On failure — "Unable to create completion act!".
  • Notes: the folder for the new item is the last folder chosen when creating an item.

Weight label in a warehouse document ​

  • Where: "Warehouse" interface → document window → scan the label into the search field. Settings → "Equipment" → "Scales" → "Barcode format": format («22 00001 83.550 X» / «22 0001 183.550 X»), "Prefix for barcodes" («Весовой:» weight, «Штучный:» piece, "Save"), "Search when scanning label" ("By code and PLU" / "By PLU" / "By code").
  • How it works: default prefixes are 22 (weight) and 21 (piece). Parsing applies only to 13-digit codes and only if the regular search (barcode, PLU, vendor code, name) found nothing: the item code (or PLU with "By PLU") and weight/quantity are taken from the code, and the item is added with that quantity.
  • Notes: the piece prefix is always parsed as 5+5 digits. Weight labels printed by the POS itself are always 5+5, so with the «22 0001 183.550 X» format they may not be recognized.

Rebuilding item search names ​

  • Where: Settings → "Sync" → "Update items names for SQLite search" («Обновить имена товаров для поиска (SQLITE)»).
  • How it works: visible only when the POS local database is SQLite. Rebuilds the search name of every item from its current name (in capitals).
  • Notes: the "Label printing" window, the "Products in stock" report and the quick search button in sales mode search by this name. Search in the «Фасофка» interface and in warehouse documents does not depend on this button. No message is shown when it finishes.
