Management mode — Paloma POS 2

This article is about Paloma POS 2 — the new touchscreen Paloma cash-register app. It covers Management mode — the owner/manager hub: a sales overview, reports, warehouse, catalog, employees and finance on a device that is not a register. Overview

  • Management is a mode for the owner or manager: a tablet or phone with no bound workplace, showing how sales are going and giving access to back-office sections.
  • You enter the mode by signing in with an employee's login and password on a device with no bound workplace. There is no separate toggle in settings: if an employee signs in and no workplace is selected, the app opens the Management hub on its own. Signing in with the account credentials (not an employee's) leads to register selection instead — see “Device modes” and “Sign-in, PIN and shift”.
  • Sales, taking payments and the shift are not available on this device — it is an observation and administration mode. To turn the device back into a register, the left menu has a Switch to cashier entry.
  • The overview and reports are read from the cloud: internet is required. The employee's permissions are also checked through the cloud.
  • Which sections are visible depends on the employee's permissions in access types — see “Employees and roles”. With no permissions at all, the hub shows: “You don't have access to any management sections.”

How to open Management mode

  1. On a device with no bound workplace, open the sign-in screen.
  2. Sign in with an employee's login and password (not the account's). The app opens the Management hub; the signed-in employee's name is shown under the title.
  3. If you sign in with the account credentials, the app offers register selection — that is the path for setting up a register device, not management.

The hub's top bar has two buttons: Sync (refreshes the overview and pulls a fresh catalog) and Settings.

The home-screen overview

If the employee has the reports permission, a command overview is shown at the top of the hub:

  • A period selector: Today, 7 days, Month, Period (a custom date range). The resolved dates are shown under it.
  • KPI cards: Orders, Revenue and Open checks. Orders and revenue carry a mini-chart of the recent days and a percentage change with a “vs. yesterday” tooltip.
  • An attention strip: “Open checks: …” and “Not synced: …” — tapping the second chip opens Sync diagnostics.
  • Sales by point — revenue and order count per sales point for the selected period; orders with no point are grouped under No sales point.

Hub sections

Below the overview are section tiles. Only the sections the employee has permissions for are shown:

  • Reports & analytics — the Reports tile (see the next section).
  • Warehouse — the All documents & stock tile: warehouse documents, stock, inventory — see “Warehouse”.
  • CatalogMenu items, Menus, Modifiers, Taxes & Fees (see “Menu items”, “Menus and rotation”, “Taxes and fees”). On the Paloma365 brand there is no Tip presets tile.
  • OrganizationEmployees and Access Types — see “Employees and roles”.
  • Finance — the Cash tile (requires both the cash-in and cash-out permissions).

The same sections are duplicated in the left menu (the hamburger button in the top bar). It also holds Settings, Sync diagnostics, Switch to cashier and Sign out of account.

On a narrow screen (a phone) the tiles collapse into horizontally swipeable pages with dot indicators, and a bottom navigation bar appears: Overview, the available sections and More (opens the left menu).

Reports

The Reports tile opens the list of reports for the selected period:

  • Summary report
  • Report by checks
  • Realization report
  • By employee
  • By workplace
  • Analytics
  • Sales analytics
  • ABC analysis

At the top are the period chips Today / 7 days / Month and a calendar for a custom range. If the account has two or more sales points, a Sales point filter appears with All points as the default — it scopes every report in the list. The Refresh button re-reads the data from the cloud.

These reports are account-wide over any period. The cashier's shift reports built from the register's local database are covered separately — see “Reports and cash”.

Cash (Finance)

The Cash tile shows the cash flow for the selected period: Cash in, Cash out and Net. The date range is changed with the calendar button in the top bar. This is view only: you cannot add or remove cash from a management device — cash operations are performed on a register with an open shift.

How to turn the device back into a register

  1. Open the left menu and tap Switch to cashier.
  2. The app opens workplace selection. Pick and bind a register.
  3. Once bound, the device works as a regular register: employee PIN, shift, sales — see “Sign-in, PIN and shift”.

The Sign out of account entry in the left menu fully signs the device out — after it, a login-and-password sign-in is required again.

Common problems

  • “You don't have access to any management sections.” — the signed-in employee has no permission for any section. An administrator must grant permissions in access types (reports, warehouse, catalog, employees or finance) — see “Employees and roles”.
  • “Couldn't load your access. Check the connection and try again.” — permissions are checked through the cloud and the request failed. Check the internet connection and tap Retry.
  • “No connection. This device reads reports from the cloud — connect to the internet and retry.” — the device is offline. Management mode reads its data from the cloud, so without a network the reports and overview are unavailable (the app shows an error, not zeros).
  • After signing in, register selection opened instead of Management — you signed in with the account credentials. Sign out and sign in with an employee's login and password.
  • A register opened instead of the hub — the device has a bound workplace, so it works as a register. Management mode is only available on a device with no bound workplace — see “Device modes”.
  • The “Not synced: …” chip won't go away — tap it to open Sync diagnostics; check the connection and wait for the data to be sent.
  • No Tip presets tile — on the Paloma365 brand this section is not shown.

FAQ

How is Management different from a register?

A register is bound to a workplace: PIN, shift, sales, a local database. Management is a device with no workplace: no sales or shift, and the overview, reports and back-office sections are read from the cloud according to the signed-in employee's permissions.

Is internet required?

Yes. The overview, reports and the permission check all go through the cloud — without a network the hub shows a connection error and offers to retry.

Can I take a payment or open a shift from a management device?

No. Sales, payments and the shift are not available on this device. If you need to sell — tap Switch to cashier and bind a workplace.

Why can't I add or remove cash in Cash?

The Cash section under Finance is a view-only summary of cash in, cash out and net for the period. Cash operations are performed on a register with an open shift.

How do Management reports differ from register reports?

Management reports are built from the cloud, account-wide, over any period, with a sales-point filter. On a register, the cashier's reports are calculated for the shift from the device's local database — see “Reports and cash”.

Can the same employee work both on a register and in Management?

Yes. These are different devices: on a register they enter their PIN at a bound workplace; on a management device they sign in with their own login and password. The set of visible sections is determined by their permissions in access types.
