Automated Points

An automated point is the dashboard record for one point of sale — a venue, a store, or a branch. It links the cash registers to a warehouse, a menu and price types, and its Settings tab defines how the register behaves: whether to ask for the guest count, whether to show item search, whether to charge a service fee, whether to block selling beyond stock. Overview

Each automated point is a physical or logical venue. It contains workplaces (registers) and rooms (halls). Point settings apply to all of its registers at once: flip a switch in the dashboard and every register of that point picks it up after syncing.

You can have several points and they work independently — different menus, different warehouses, different rules. That is why a store and a café in the same account are configured differently: they are two separate points with their own sets of switches.

The settings on this record apply to Paloma365 Classic (the Windows cash register). The Paloma POS 2 app has its own sales-point screen — see Sales Points and Workplaces. If you are not sure which register you have, start with Which register do you have.

Four groups of switches. This is where you configure what the cashier sees every day.

General Settings

Service & Waiter Mode

This group enables the "restaurant" elements. A store or fast-food point normally turns the whole group off — otherwise the cashier sees a table, guests and a service fee on every bill, none of which exist in retail.

Access tab — action passwords

Fields such as Password: Discount, Password: Return, Password: X-report. A filled password means the register asks for it before that action. An empty field means the action runs without a password.

The full set: discount, service %, client, add client, delete from order, change price, print receipt copy, change table, change cashier, close, exit, unlock order, divide bill, return, combo, refuse, stop list, and seven reports — summary, X-report, act report, remains report, material statement, bill report, refusal reports.

People usually ask about this in other words: "change the password for deleting items", "password to unlock a bill", "the register asks for a password on a return", "where do I change the discount password". All of it is this same Access tab on the point's card: "delete an item" is Delete from order here, "unlock a bill" is Unlock order. This is NOT the back-office password and not the workplace password: those are separate credentials, and a question that only says "how do I change the password" has to be narrowed down before it can be answered.

A password is not the same thing as an employee permission. What an employee is allowed to do at all is configured separately: Workplace Rights and Cashier Permissions.

Step-by-Step Guide

  1. Go to POS > Automated Points.
  2. Click Add, or open an existing point.
  3. On the Main tab fill in the required fields: name, organization, default client, cash and card payment types, timezone.
  4. Pick the Menu and the Warehouse sold items are deducted from.
  5. Open the Settings tab and walk the four groups of switches for your format: café with waiters, fast food, or store.
  6. Set action passwords on the Access tab if needed.
  7. Click Save.
  8. After saving, the Workplaces and Rooms tabs appear — add registers and halls.
  9. Wait for the register to sync, or restart it: until then it runs on the old settings.

Configuring for a venue format

Store or fast food

  • Service & Waiter Mode — turn the whole group off: restaurant map, locations, table prompt, guest prompt, service fee. Set Service percentage to 0.
  • Search by item name — turn it on: without search the cashier cannot find an item that is not on a tile.
  • Prohibit selling beyond stock and Warn about stock — per your inventory policy.
  • Give employees the Sales mode interface rather than "Waiter" — see Register interfaces.

Café or restaurant

  • Service & Waiter Mode — enable the restaurant map, locations, table and guest prompts; set Service percentage.
  • Print bill for payment — enable it: the pre-bill is needed before payment.
  • Decide who closes the bill: Waiter can take payment on — the waiter; off — the cashier.

FAQ

There is no item search on the register — how do I enable it?

Turn on Search by item name on the Settings tab, General Settings group, save the record, and wait for the register to sync.

After that the sales screen shows the "Detailed search..." field (F3). It searches the catalog by name, barcodes, PLU code and article at once — you do not pick a search type; F5 clears the search. Details: Sales and order handling and Hotkeys.

If search is on but an item still is not found, check two things: whether the point's catalog is narrowed (the Menu and Main menu folder fields on the Main tab) and whether the register's "In stock only" filter is on.

How do I remove guests and the service fee — a store does not need them?

On the Settings tab, Service & Waiter Mode group:

  1. Turn off Ask guest count — the register stops asking for the number of guests when a bill is created.
  2. Turn off Charge service fee in sales mode and set Service percentage to 0 — the service fee stops being calculated.
  3. Also turn off Ask for table on new bill, Use restaurant map and Use locations — a store has no tables.
  4. Save and wait for the register to sync.

The Service and Guests buttons in the bill header are additionally gated by employee permissions: revoke the right to change the service fee and the button stops working even if the cashier reaches it. See Cashier Permissions.

I changed a setting but the register still behaves the old way

Point settings reach the register through sync. Make sure the record is saved, the register has internet, and the sync went through; restart the register if in doubt. If sync is not running, see No connection and sync.

Some settings live on the register itself, not in the dashboard — venue type, client search by barcode, cash collection on shift close and others. Those are edited locally: Local register settings.

Can I assign different menus to different points?

Yes. The menu is chosen per point, so a store and a café in the same account show different catalogs. The catalog can be narrowed further with Main menu folder and workplace rights.

What happens if the point's warehouse runs out of stock?

By default the sale goes through and stock goes negative. To prevent that, turn on Prohibit selling beyond stock in the Retail & Services group, or maintain a stop list.

Do point settings apply to every register?

Yes, the Settings tab belongs to the point as a whole. Differences between individual registers are set on the Workplaces tab and in Workplace Rights, and some are configured locally on the register.
