Item's main supplier

The item card (the Additional tab) has a Main supplier field. The "Main supplier" filter of the Stock Balance report and the Fill by main supplier button in the receipt both use it. The field fills itself the first time the item appears in a conducted receipt: if it was empty in the card, the document's supplier is written there. After that, the system never changes it on its own, even if the receipt's supplier is corrected later.

If the item card has a different main supplier than the document, the row is marked with an orange stripe on the left and a note appears above the table. The note names those suppliers and how many items each one is set for, for example "50 — Alpha LLP, 33 — IE Bekova". Check that the document supplier is correct and that these items are really purchased from it.

To see the main supplier of every row, click the Display settings icon (the gear) above the table and turn on Show main supplier. A Main supplier column appears in the table; click its header to put items of the same supplier next to each other. The choice is remembered in this browser.

When you save or conduct such a document, you are asked whether to make the document's supplier the main supplier of these items:

  • Yes, make it main — after the document is saved, the supplier is written to these item cards;
  • No, keep as is — the document is saved and the item cards stay unchanged. While the document is open, you will not be asked again about the same items;
  • Cancel — the document is not saved, so you can check the supplier first.

Only employees allowed to edit items are asked. Everyone else sees just the row marks.

If you deliberately buy the same items from different suppliers, you can turn the question off: tick Don't ask again on this device in the window and answer Yes or No. Your answer is applied to this document, and after that documents are saved without the question, just as if you answered No, keep as is: the main supplier in item cards does not change. The orange row marks and the note above the table stay. To turn the question off without the window, or to turn it back on, use the Ask about the main supplier on save switch in Display settings above the table. The setting applies to this browser only: other employees and other devices are still asked.

FAQ

How do I undo an incorrect receipt?

Open the document and click Unconduct. Warehouse stock will be adjusted accordingly.

Can I edit a conducted document?

First unconduct the document, make changes, then conduct it again.

Why does the Stock Balance report list an item under a supplier it was never bought from?

The report's "Main supplier" filter looks at the Main supplier field of the item card. That field is filled by the item's first conducted receipt (see "Item's main supplier" above). If that document had the wrong supplier selected by mistake, the field kept it. You can fix it on the Additional tab of the item card. To fix several items at once, select them in Items, click Group values and set Main supplier.

How do I see previous prices?

Enable Extended mode — columns for previous and current prices will appear automatically.

How do I make a negative receipt?

There is no negative receipt document, and you do not need to enter negative quantities in receipt lines: Advisor flags receipt lines with zero or negative quantity as an error ("Receipt lines with zero quantity"). Instead:

  • goods are returned to the supplier — create a Return to Supplier document; it deducts the goods from the warehouse, and the original "Receipt of goods" can be chosen as its basis;
  • the receipt was entered incorrectly — open it, click Unconduct, fix the quantity, and conduct it again.
